Project management tools fail for organisational reasons far more often than technical ones. Almost every product in this category can hold tasks, dates and owners; the difference is whether the way it models work matches the way your team already thinks about work.
Broadly there are three shapes: lightweight task trackers, structured work-management platforms with multiple views and automation, and flexible docs-and-databases tools that you assemble yourself. Picking the wrong shape produces an expensive tool nobody updates.

- Identify your primary viewTeams that live in a board, a timeline, a calendar or a list will resist a tool that makes their preferred view a second-class citizen.
- Decide how much structure you want to buildHighly flexible tools reward teams with an owner who will design and maintain the system. Without that owner, opinionated software with sensible defaults wins.
- Check guest and client accessAgencies especially should confirm whether external collaborators consume a paid seat and what they can see.
- Look at reporting before you commitWorkload views, cross-project dashboards and time tracking are frequently the features gated to higher tiers — and frequently the reason you are buying at all.
